Fair Use Policy
Caloreel Ltd · Last updated 13 October 2026
In plain English
On the Unlimited plan there's no hard storage cap for galleries you deliver to your own clients. If an account goes above 5 TB we'll get in touch and look at it with you, and we will never delete your work without notice. Video is measured separately, and on the Studio plan we'll warn you well before you reach 1 TB.
1. What "unlimited" means
The Unlimited plan has no hard storage cap for genuine photography business use. In plain terms, that means galleries you create to deliver, proof and sell your own work to your own clients.
Most studios will never think about storage again, and that's the point. This policy exists so we can keep offering unlimited storage at a fair price to everyone. It forms part of our Terms of Service and is published by Caloreel Ltd ("Caloreel", "we", "us").
2. What's covered
All of the following is exactly what Unlimited is for:
- every wedding, family, portrait and commercial gallery you deliver to your clients, for as long as you want to keep them online;
- full-resolution originals for downloads and print orders;
- proofing galleries, favourites lists and selections;
- galleries brought across from another platform when you switch to Caloreel;
- your brand assets, cover images and gallery templates;
- the video included in your plan (see section 6).
3. What isn't covered
Unlimited storage isn't intended for:
- general backup or archiving, such as RAW files, catalogues or files that aren't part of a client gallery;
- file hosting for others, such as storing or delivering work for other photographers or businesses that don't hold their own Caloreel account;
- non-photography files, such as software, documents or media unrelated to your galleries;
- raw or unedited video archives beyond the video hours included in your plan.
Caloreel is a delivery and business platform, not an archive. Please keep your own backups of original files, ideally in more than one place.
4. If your account goes above 5 TB
Five terabytes is a lot of photography, and most busy studios won't come close. If your account does go above 5 TB, here's what happens:
- We get in touch. A real person will email you. Nothing changes in your account automatically.
- We look at it together. Often it's something simple, such as duplicate uploads, an old migration or files that belong in a backup rather than a gallery.
- We agree what's fair. If your usage is genuine client work, we'll either confirm you're fine as you are or offer a custom studio price that reflects your usage. If some of it isn't covered by this policy, we'll help you move or reduce it, and give you reasonable time to do so.
We will never delete your work without notice, and we won't change your price without your agreement. If we can't agree, you can cancel and use the export window in the Terms to download everything.
5. Cold storage
To keep storage affordable, galleries that nobody has opened for 90 days move automatically to a lower-cost storage tier. This happens behind the scenes:
- cold galleries still open straight away, and your clients see no difference;
- downloads and print orders work as normal;
- opening a gallery, by you or a client, warms it back up.
Cold storage counts towards your storage total in the same way as any other gallery, and it never removes your original files.
6. Video is measured separately
Video is much larger than photography, so it's measured in hours rather than terabytes:
| Plan | Video included |
|---|---|
| Studio | 1 hour |
| Unlimited | 10 hours |
The total is the combined running time of the video stored across your galleries. As you get close to your allowance, we'll let you know. You can remove older video to make space, or upgrade from Studio to Unlimited. If you're on Unlimited and need more video, contact us and we'll talk through the options.
7. The Studio plan's 1 TB limit
The Studio plan includes 1 TB of storage, which is enough for many years of work for most photographers. When you get close:
- We'll tell you in good time, by email and in the app, as you approach the limit.
- You choose what to do. You can tidy up old galleries, download and remove ones you no longer need online, or upgrade to Unlimited from your settings.
- Nothing is deleted. If you reach the limit, new uploads pause until you free up space or upgrade. Your existing galleries, downloads and print store keep working for your clients.
Plan prices and limits are on our pricing page.
8. Other fair use
- Team seats are for real people in your studio, one person per seat.
- Downloads and traffic aren't capped for normal client use. If unusual activity, such as automated scraping or a public link being abused, puts the service at risk, we may limit it and will tell you.
- Plan limits must not be avoided by splitting one studio's work across several trial or paid accounts.
9. Questions
If you're not sure whether something is covered, or you'd like to talk about a large migration before you start, email support@caloreel.com. We'd much rather have that conversation early.
